United Container Depots is looking to secure the permanent services of a Transport Controller, the successful candidate will join their Durban Depot. All suitably qualified and experienced candidates are invited to apply for this vacancy.
Job description

DUTIES AND RESPONSIBILITIES

The successful applicant will be responsible for but not limited to:
 
Transport Operations
  • Monitor upcoming shipments, forecasting and forward planning.
  • Daily planning, routing and scheduling of releases and bookings.
  • Coordinate, plan, and manage the scheduling and routing of fleet vehicles.
  • Receiving of transport instructions from customers.
  • Creating of Transport Orders/instructions and ensuring all transport loads are timeously and accurately captured onto internal system.
  • Loading Instructions from clients, including making order/maps for drivers to load, ensure vehicle details are sent to client.
  • Prepare documents of payments (PODS, INV, STATEMENTS).
  • Have good knowledge of transporters and negotiate the best rates possible.
  • Ensure that all relevant and correct documentation is handed to the transporter prior to each upliftment.
  • Ensure customers and transporters are contacted and kept updated with regards to progress.
  • Follow up on vehicle delays including border problems till the truck is offloaded.
  • Resolve day-to-day transportation issues swiftly and efficiently.
  • Ensure the pre-departure and debriefing of transporters for any special requirements of the client is always conducted.
  • Ensuring all container upliftment (to/from the Port, packhouses, depots) are within the allocated timeframe and turned in on time to avoid demurrage/storage charges.
  • Reconciling shipments against internal operating systems
  • Arranging for goods to be returned as and when required.
  • Working closely with TNPA, monitoring stacks dates, port constraints and delays, and slot bookings
  • Work closely with the depot operations team, to plan and schedule incoming shipments and dispatches of containers into stacks.
  • Track and trace containers on internal and external operating systems to ensure that containers are stacked timeously.
  • Ensure adherence to booking slots for direct deliveries.
  • Ensure that vehicles are safe and meet legal requirements.
Communication Skills
  • Provide excellent communication to all Customers, Suppliers, internal Departments and TNPA personnel.
  • Ensure that customers and transporters are contacted and kept updated with regards to progress
  • Respond to telephone calls regarding breakdowns, accidents, and delays.
  • Liaise with loading and offloading sites with regards to any delays that you may be faced with.
  • Use personal judgment and initiative to develop effective and constructive solutions to challenges and obstacles.
  • Keep your manager updated with regards to progress or delays with regards to any deliveries.
Stakeholder Liaison
  • Build and maintain relationships with key stakeholders, both internal and external.
  • Maintain and manage relationships with all customers and suppliers ensuring reports, queries and requests meet required service levels.
  • Assist with queries relating to your shipments.
  • Work co-operatively with the various internal operational areas to achieve depot and departmental goals within budgetary guidelines.
  • Liaise with internal departments on operational activity and admin related matters.
  • Submit monthly management reports as per business requirements.
  • Monitor and report on KPI performance.
  • Attend meetings as and when required.
SHEQ
  • Supervise all loads and always ensure safety of cargo.
  • Ensure all incidents are reported and incident reports are submitted.
  • Ensure compliance to OHS Act and other industry applicable legislation.
  • Ensure compliance to SHEQ systems.
  • Comply with all business procedures, standards, and work instructions.
  • Drive continuous improvement.

Minimum requirements

Qualification/s:
  • Minimum of a Logistics diploma or a related field.
Experience
  • 3 – 5 years of relevant industry experience.
  • Working knowledge of warehouse operations.
  • Vast knowledge of Export documents (SAD500, VOC, RIT)
Required skills:
  • Deadline driven.
  • Ability to work under pressure.
  • Strong verbal and written communication skills.
  • Strong knowledge of transport regulations and safety standards.
  • Intermediate to advanced skills in Excel.
