Purpose of the Role: The Facilities Manager is responsible for ensuring that all company-owned and leased buildings are safe, fully operational, compliant, and well-maintained. The role ensures the smooth functioning of building infrastructure, security, maintenance, and service delivery for employees and tenants. This includes managing contractors, ensuring regulatory compliance, controlling costs, and delivering an efficient working environment.
Job description

Key Responsibilities

Building Operations Management:

  • Oversee daily building operations (HVAC, generators, UPS, CCTV, access control, plumbing, electrical, security).
  • Ensure facilities are legally compliant, safe, and well maintained.
  • Identify operational risks and implement mitigation plans.

Maintenance & Repairs

  • Develop and implement preventative maintenance programmes.
  • Plan repair and maintenance projects, including scope, timelines, and contractor requirements.
  • Ensure assets remain reliable, safe, and cost-effective.

Space & Tenant Management

  • Manage workspace and tenant allocations.
  • Respond to tenant needs, concerns, and maintenance requirements.
  • Maintain updated lease documentation and occupancy records.

Compliance & Safety

  • Ensure compliance with health, safety, fire, environmental and building regulations.
  • Manage emergency preparedness and business continuity procedures.
  • Conduct inspections and maintain audit readiness.

Security Management

  • Oversee building security systems and personnel.
  • Ensure access control and surveillance systems operate effectively.

Stakeholder & Contractor Management

  • Engage with contractors, suppliers, managing agents, tenants, departments, and senior leaders.
  • Ensure service delivery meets contractual expectations and organisational standards.

Budget, Cost & Resource Management

  • Prepare and manage the facilities management budget.
  • Control monthly costs, utilities, recoveries, and contractor spend.
  • Explore and recommend cost-saving measures.

Environmental & Utilities Management

  • Monitor water and electricity usage and identify savings.
  • Implement recycling and waste-management initiatives.
  • Develop backup strategies for load shedding and utility failures.

Procurement

  • Prepare tender documents and evaluate quotations.
  • Oversee contractor performance, compliance, and quality control.
  • Approve and sign off work on completion.

Staff Leadership

  • Lead, mentor, and evaluate building supervisors and support staff.
  • Build a positive and productive team culture.
  • Ensure training on building systems, equipment, and safety.
 

Minimum requirements

 Minimum Requirements
  • Tertiary qualification in Building/Property or related field
  • Minimum 5 years’ experience in a similar role
  • MS Office proficiency
  • Strong leadership, communication, compliance and stakeholder engagement skills
