Introduction
Grindrod Multi-Purpose Terminals is seeking a proactive and detail-oriented Fleet Controller to oversee the day-to-day management, maintenance, compliance, and performance of our fleet of trucks and trailers. The successful candidate will be responsible for ensuring maximum fleet availability, coordinating maintenance activities, managing breakdowns, monitoring vehicle performance, and ensuring legal and safety compliance across the fleet.
Job description
Fleet Maintenance Management
- Schedule and coordinate preventative maintenance and servicing of trucks and trailers.
- Monitor vehicle mileage and engine hours to accurately plan upcoming services.
- Plan and manage preventative maintenance repairs to minimize operational downtime.
- Maintain accurate service schedules and maintenance records.
Breakdown and Incident Management
- Act as the primary point of contact for all vehicle and trailer breakdowns.
- Log breakdowns with Original Equipment Manufacturers (OEMs) and service providers.
- Arrange roadside assistance and emergency repairs when required.
- Assist with documenting and reporting vehicle accidents, damages, and incidents for internal investigations and insurance purposes.
Service Provider and Vendor Management
- Obtain, review, and manage repair quotations.
- Ensure repairs are completed to the required standard and within agreed turnaround times.
- Liaise with OEMs, repair workshops, and external service providers.
- Maintain stock levels of critical spare parts, oils, and consumables required for minor repairs.
Fleet Compliance and Safety
- Review daily vehicle inspection checklists submitted by drivers.
- Report vehicle defects and arrange repairs with approved service providers.
- Conduct weekly vehicle inspections with drivers to ensure roadworthiness.
- Ensure all vehicle licenses, Certificates of Fitness (COF), and statutory compliance documentation remain valid and up to date.
- Promote and enforce safe operating practices throughout the fleet.
Fleet Administration and Reporting
- Maintain comprehensive records of vehicle repairs, maintenance, services, and costs.
- Monitor fuel consumption and investigate abnormal trends that may indicate mechanical problems.
- Prepare maintenance and performance reports as required.
- Monitor vehicle tracking systems and driver behavior reports to improve operational efficiency and compliance.
Minimum requirements
Qualification / s
- Grade 12 / Matric (Essential).
- Diploma or Certificate in Transport Management, Logistics, Fleet Management, Mechanical Engineering, or a related field will be advantageous.
- Valid driver's license (Code B minimum; Code EC advantageous).
Experience
- Minimum 3-5 years' experience in fleet control, transport coordination, logistics, or fleet maintenance role.
- Experience managing commercial trucks and trailers.
- Proven experience coordinating vehicle servicing, maintenance schedules, and breakdown management.
- Experience working with OEMs, repair workshops, and external service providers.
- Knowledge of transport legislation, vehicle licensing, and compliance requirements.
- Experience using vehicle tracking and fleet management systems.
