A Terminal Administrator plays a crucial role in managing data, reporting, and administrative functions to ensure seamless terminal operations. This position involves overseeing data capture processes, safeguarding system integrity, coordinating with stakeholders, supervising the administrative team, and providing accurate, timely reports that support operational and commercial decision-making.
Job description

Data Management and Staff Management
  • Ensure accurate and timely recording of bulk, break bulk, and container movements within the Linersuite system.
  • Monitor data capture processes and enforce adherence to standard operating procedures to maintain system integrity.
  • Identify and investigate discrepancies in data entries, implementing corrective actions to prevent errors and improve workflow efficiency.
  • Lead, mentor, and support the administrative team to ensure an efficient and productive work environment.
  • Foster a culture of engagement, collaboration, and high performance.
System Updates and Enhancements
  • Maintain and regularly update the Linersuite system to ensure consistency, reliability, and accuracy in terminal operations data.
  • Collaborate with software developers to resolve system-related issues and implement enhancements that optimize administrative functions.
SAP Purchase Order Management
  • Oversee the release of SAP purchase orders to ensure accurate and timely invoice processing by the finance team.
Collaboration and Liaison
  • Serve as a primary liaison between tally companies, stevedores, terminal operations teams, and software developers to streamline data exchange and optimize workflow.
  • Provide analytical support to customer service and commercial teams, ensuring service alignment with customer needs.
Operations and SHEQ Team Liaison
  • Collaborate with operations and SHERQ (Safety, Health, Environment, Risk, and Quality) teams to deliver data-driven insights that support ongoing improvements.
  • Step in for the Terminal Supervisor during leave periods, ensuring operational continuity.
    Guide the terminal operations team in handling various scenarios using data-driven decision-making strategies.
Month End Reporting and Compliance
  • Compile and submit finalized bulk movement reports to the finance department, covering key metrics such as:
  • Staff attendance and overtime summaries.
  • Diesel consumption metrics.
  • Operational performance evaluations.
General Tasks 
  • Ensure that all duties and responsibilities are performed in compliance with the company's policies and procedures.
  • Guide and support the administrative team, ensuring smooth workflows and high engagement.

Minimum requirements

Qualification / s
  • Grade 12 (Matric)
  • Diploma or Degree in Business Administration, Logistics, or a related field.
Experience
  • 3–5 years of experience, including hands-on involvement in SAP purchase order management, diesel inventory control, and stakeholder collaboration.
  • Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
  • Experience with SAP, Linersuite or similar ERP systems.
