Introduction
GMPT is seeking a highly organised and detail-oriented HR Administrator to provide comprehensive administrative and operational support across the Human Resources function. The successful candidate will play a key role in maintaining HR systems, employee records, payroll coordination, recruitment administration, training administration, compliance activities, and reporting requirements.
Job description
Recruitment, Interviews and Onboarding
- Coordinate and schedule interviews with candidates and hiring managers.
- Facilitate onboarding activities and employee induction processes.
- Enrol employees onto biometric time and attendance systems.
- Ensure the accurate creation, maintenance and filing of employee records.
- Assist in delivering a positive candidate and onboarding experience.
- Payroll Administration and Coordination
- Verify payroll documentation for accuracy and completeness before submission.
- Process payroll-related changes within prescribed deadlines.
- Manage employee payroll-related queries, including:
- Banking detail changes
- Payslip enquiries
- Employee status changes
- Medical aid amendments
- Employee terminations
- UI19 documentation
- Monitor and report on overtime expenditure and payroll-related costs.
- Ensure payroll deductions and employee benefits are accurately processed.
- Support payroll compliance and process improvement initiatives.
Employee Records and HR Information Systems
- Maintain accurate and up-to-date employee records and personnel files.
- Ensure all employee documentation is complete, accurate and confidential.
- Maintain HR templates, job descriptions and standardised documentation.
- Support the continuous improvement of HR systems and administrative processes.
- Update employee beneficiary and dependant information as required.
- Training and Development Administration
- Coordinate employee training and development programmes.
- Maintain training records, attendance registers and supporting documentation.
- Assist with Skills Development reporting requirements, including ATR and WSP submissions.
- Support the scheduling and administration of learning and development initiatives.
- Coordinate compliance-related training and certification renewals.
- Time and Attendance Administration
- Monitor employee attendance and timekeeping records.
- Review clocking reports and investigate discrepancies.
- Maintain accurate leave balances.
- Prepare and distribute attendance and clocking reports.
- Support managers with attendance-related information and reporting.
- Ensure all timekeeping activities support accurate payroll processing.
- Casual Labour Administration
- Enrol casual employees on clocking systems.
- Monitor and verify attendance records for casual labour.
- Produce weekly attendance and clocking reports.
- Reconcile attendance records against supplier invoices.
- Verify labour supplier invoices before payment processing.
- Maintain accurate records for audit and compliance purposes.
- Employee Relations and HR Support
- Respond to employee HR-related queries.
- Provide guidance on HR policies, procedures and practices.
- Coordinate HR meetings and compile meeting minutes where required.
- Provide administrative support to the HR Business Partner.
- Promote professional and effective communication with all stakeholders
Compliance, Governance and Reporting
- Support HR compliance with legislation, company policies and governance requirements.
- Coordinate exit medical examinations and employee offboarding processes.
- Process termination-related documentation.
- Assist with audit preparation and compliance reporting.
- Maintain accurate statutory and HR records.
HR Reporting and Administration
- Prepare workforce headcount reports.
- Compile monthly overtime and leave reports.
- Process employee changes, promotions and benefit updates.
- Maintain HR reporting databases.
- Consolidate workforce information for management reporting.
- Support general HR administrative requirements.
- Continuous Improvement
- Identify opportunities to improve HR processes and administrative systems.
- Drive efficiencies through proactive problem-solving and process optimisation.
Minimum requirements
Qualification / s
- Higher Certificate in Human Resource Management.
- Relevant Diploma or Degree in Human Resource Management will be advantageous.
Experience
- Minimum 2-3 years' experience in an HR Administration or HR Support role.
- Exposure to payroll administration and time and attendance systems.
- Understanding of South African labour legislation and Employment Equity requirements.
- Experience working with HR information systems and reporting.
