The successful candidate will be responsible for accurately capturing, updating, maintaining, and verifying company data to support effective operations, reporting, and decision‑making. This role requires strong attention to detail, dependable work habits, and the ability to follow established data processes and confidentiality standards.

Key Responsibilities
 
DATA ENTRY AND VERIFICATION
  • Accurately input operational data related to vessel movements, cargo handling, into terminal management systems.
  • Cross-check data entries against physical records such as manifests, packing list and security logs reports to ensure accuracy.
  • Update and maintain real-time data records to reflect ongoing terminal activities.
  • Reconcile discrepancies between physical documentation and system data, investigating and correcting errors or discrepancies.
DOCUMENTATION AND RECORD MANAGEMENT
  • Maintain organized records of vessel files, security logs, delivery notes ensuring easy retrieval
  • Archive completed documentation securely in accordance with company policies and legal requirements.
  • Support data audits by providing accurate records and documentation requested by auditors, supervisor or management.
  • Always ensure confidentiality and security of sensitive data and documents.

COMMUNICATION AND COLLABORATION
  •  Liaise with operational staff to gather accurate data in a timely manner.
  •  Communicate data discrepancies or issues to supervisors or relevant departments for resolution.
  •  Support coordination between data management and operational teams to ensure data alignment.
  •  Pro vide timely updates and reports to terminal admin supervisor to support decision-making and  operational planning.
  •  Assist colleagues during peak operational periods or when urgent data capture is required.
COMPLIANCE & CONFIDENTIALITY
  •  Ensure all data handling complies with company policies and data protection regulations.
  •  Maintain confidentiality of sensitive operational and personnel information.
  •  Immediately report any suspected data breaches or unauthorized access to the supervisor or IT  department.
 
JOB SPECIFIC REQUIREMENTS
  •  Knowledge of terminal management systems, Liner suite software and Microsoft Office
  •  Basic understanding of data reconciliation and reporting processes.
  •  Ability to spot errors and ensure accuracy in data entry.  
  •  Capability to manage and categorize large volumes of data.
  •  Effective communication with team members and other departments.
  •  High level of accuracy and accountability.
  •  Basic understanding of cargo flow & vessel scheduling.

Minimum requirements

Qualifications:
  • Senior Certificate (Grade 12/Matric).
  • Post-matric certificate or diploma in Office Administration i.e. (NQF Level 6) in Office Administration filed will be advantageous.
  • Computer Literacy (be proficient in the Microsoft Office Suite, with a strong emphasis on Excel for data organization and Word for basic reporting).
  • Typing Skills, require fast and accurate typing skills, this is preferred to meet high-volume data entry targets.
Experience and competency pre-requisite
  • 2-3 years of experience in data entry, clerical
  • work, or administrative roles, preferably within
  • port, shipping, or terminal environments.
  • Familiarity with terminal operations or cargo documentation is a plus.
  • Proficiency in MS Office applications, especially Excel, Word, and Outlook and Liner suit syste
  • Experience in generating reports, maintaining logs, and archiving documentation.
  • Proven ability to capture, verify, and reconcile operational data from multiple sources
