Introduction
The Payroll Clerk is responsible for the accurate and timely processing of payroll for employees at the Richards Bay operations. The role ensures compliance with company policies, statutory requirements, and payroll best practices while maintaining confidentiality and integrity of employee payroll information.
Job description

Key Responsibilities 
 
1. Payroll Processing 
  • Capture and process payroll information for permanent, contract, and temporary employees. 
  • Ensure accurate processing of overtime, allowances, deductions, and benefits. 
  • Verify employee attendance records, timesheets, and leave records prior to payroll processing. 
  • Process new employee payroll information including bank details, tax numbers, and benefits. 
  • Ensure terminated employees are removed from payroll and final payments are processed correctly. 
2. Payroll Administration 
  • Maintain accurate payroll records and employee payroll files. 
  • Prepare and distribute payslips to employees. 
  • Update employee payroll changes such as salary adjustments, promotions, transfers, and deductions. 
  • Ensure payroll records are stored and maintained in line with company policy and audit requirements. 
3. Compliance and Statutory Requirements 
  • Ensure payroll compliance with South African legislation including: 
  • Basic Conditions of Employment Act 
  • Labour Relations Act 
  • South African Revenue Service tax requirements 
  • Process statutory deductions including PAYE, UIF, and other payroll-related contributions. 
  • Assist with payroll audits and ensure documentation is readily available. 
4. Reporting 
  • Generate payroll reports for management and finance. 
  • Assist in preparing monthly payroll reconciliations. 
  • Support the Payroll Manager with payroll cost analysis and variance reports. 
5. Employee Support 
  • Respond to employee payroll queries and resolve discrepancies. 
  • Provide employees with payroll-related information such as tax certificates and payslips. 
  • Ensure confidentiality when dealing with employee payroll matters. 
6. System Administration 
  • Capture and maintain payroll data on the company payroll system  
  • Ensure accurate employee data maintenance in the payroll system. 
  • Assist with system updates, testing, and payroll system improvements where required. 

Minimum requirements

Qualifications 
  • Diploma or Certificate in Payroll Administration, Finance, Accounting, or Human Resources. 
 
Experience 
  • Minimum 2–3 years payroll administration experience, preferably in a logistics, shipping, or industrial environment. 
 
Skills and Competencies 
  • High level of accuracy and attention to detail. 
  • Strong numerical and analytical skills. 
  • Confidentiality and integrity in handling payroll data. 
  • Good communication and interpersonal skills. 
  • Ability to work under pressure and meet payroll deadlines. 
  • Strong administrative and organizational skills. 
  • Proficiency in Microsoft Excel and payroll systems.
